#1 Everyone Shares the Same Login

This happens all the time on building sites.

Typical situation:

  • Site office laptop
  • Username: Site
  • Password: site123

Everyone logs in with the same account.

Problems:

❌ No accountability
❌ Security risk
❌ Data protection issues
❌ Anyone can access company data

Solution:

  • Individual accounts
  • Secure login policies
  • Device management with Microsoft Intune

#2 Critical Files Stored on One Computer

Very common scenario:

The estimator or office manager keeps everything on one PC:

  • job costing spreadsheet
  • subcontractor contacts
  • project documents

If that computer dies:

🚨 The whole business stops.

Solution:

Move everything to cloud storage like:

  • Microsoft OneDrive
  • Microsoft SharePoint

Benefits:

✔ automatic backup
✔ remote access
✔ version control

#3 No Backup Strategy

Many contractors believe this is their backup strategy: “Dave copies the files to a USB stick sometimes.”

Problems:

  • ransomware risk
  • accidental deletion
  • hardware failure

Solution:

Implement proper backup systems such as:

  • Veeam Backup & Replication

Now:

✔ daily backups
✔ disaster recovery
✔ ransomware protection
